How we handle your information

This Privacy Policy explains how Innovative Systems Software, LLC ("ISS", "we", "us") collects, uses, and protects information when you visit https://issrsa.com, request access to our user portal, purchase software, or use the services described below.

Information we collect

Information you give us

Contact and quote forms — name, email address, organization, phone number, and the content of your message.
Portal access requests — name, organization, email address, phone number, the resources you are requesting, and your stated reason for requesting access.
Account details — name, email address, company, and phone number. Your email address is your username.
Orders — billing name, address, email, phone, and the items purchased.
Workshop and course registrations — the details you submit when registering.
Support tickets — the subject, description, and any correspondence.
Demo downloads — name, email address, and organization.

Information collected automatically

Activity logs — when you log in, download a file, or perform certain account actions, we record the action, the time, and your IP address.
Download tracking — which files are downloaded, by which account where applicable, with IP address and browser user agent.
Analytics — we use Google Analytics 4 to understand aggregate site usage.
Spam prevention — form submissions record timing signals and, where enabled, are scored by Google reCAPTCHA.

How we use your information

To review and decide on portal access requests, and to create and administer accounts.
To process orders, deliver software and license keys, and provide receipts.
To respond to enquiries, quotes, and support tickets.
To deliver training courses, workshops, and certificates.
To send transactional email such as order confirmations, download links, credentials, password resets, and workshop reminders.
To secure the site, investigate abuse, and keep an audit trail of account activity.
To understand aggregate usage and improve our products and website.

We do not sell your personal information, and we do not use your information for third-party advertising.

Payment information

Card payments are processed by Stripe. Your full card number, expiry date, and security code are entered directly into Stripe's payment form and are sent to Stripe, not to us. We never receive or store full card numbers. We retain the order record, the amount, and Stripe's transaction reference. Stripe's handling of your data is governed by its own privacy policy at stripe.com/privacy.

TESSA AI assistant

If you use the TESSA assistant in the portal, your conversations are saved to your account so you can return to them. This history is encrypted with a key derived from your password, which means we cannot read it without your password.

One consequence is worth stating plainly: if you reset a forgotten password, that saved chat history is permanently destroyed, because the key that protected it can no longer be recovered. Changing your password from within the portal, where you supply your current password, preserves it.

Your questions are also sent to the third-party AI provider that generates TESSA's responses in order to produce an answer.

Service providers we share data with

We share information only with providers that help us operate the site:

Stripe — payment processing.
SendGrid (Twilio) — delivery of transactional email.
Google Analytics and, where enabled, reCAPTCHA — usage analytics and spam prevention.
Our hosting provider — which stores the site and its database.
AI providers — which generate TESSA's responses.

We may also disclose information where we are legally required to, or where it is necessary to protect our rights, our users, or the security of our systems.

Cookies

We use a session cookie to keep you logged in and to protect forms against cross-site request forgery. This cookie is essential; the portal cannot function without it. Google Analytics sets its own cookies to measure usage. Most browsers let you refuse or delete cookies, though doing so will prevent you from signing in.

How long we keep information

Account records, orders, and support history are kept for as long as your account is active and afterwards for as long as we need them for legal, accounting, and licensing purposes. Access requests are retained as a record of the approval decision. Activity and download logs are kept for security auditing. You may ask us to delete information we are not required to keep.

Security

Passwords are stored using bcrypt hashing and are never stored in readable form. Database queries use prepared statements. The site is served over HTTPS. TESSA chat history is encrypted as described above. No system is perfectly secure, but we take reasonable measures to protect the information we hold.

Your choices and rights

You can review and update your name, company, and phone number at any time in Account Settings. To change the email address on an account, request a copy of the information we hold, or ask us to delete it, write to support@issrsa.com.

Depending on where you live, you may have additional rights over your personal data, including rights of access, correction, deletion, and portability. We honour such requests where they apply to us.

International visitors

ISS is based in the United States, and information you provide is processed there. If you access the site from outside the United States, you understand that your information will be transferred to and processed in the United States, where data protection law may differ from that of your own country.

Children

Our products and this site are intended for professional and academic use. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us and we will delete it.

Changes to this policy

We may update this policy from time to time. The "last updated" date at the top of the page shows when it last changed. Material changes will be communicated to account holders by email.
